About The Role
Please note: This position is scheduled to start on October 1, 2026.
The Staff Accountant supports full-cycle accounting across accounts receivable, accounts payable, and the general ledger. This is a hands-on role for an early-career accountant who wants broad exposure to the accounting function and the opportunity to grow into ownership of complete processes rather than remain focused on a single narrow function. Day to day, the position works across customer invoicing and collections, vendor bills and disbursements, journal entries, account reconciliations, and the transactional work that drives an accurate and timely month-end close.
The position reports to the Accounting Manager and partners across operations, sales, and delivery teams to resolve billing questions, research variances, and keep the accounting records clean. The role also supports an active accounting system conversion, offering meaningful exposure to process design and system implementation early in a career.
This role is well suited for an early-career accountant with a strong accounting foundation and hands-on accounts receivable experience who is eager to broaden their experience across the full accounting cycle. The ideal candidate brings critical thinking, attention to detail, resourcefulness, and initiative, along with the ability to learn new processes quickly and take on increasing responsibility as their experience grows.
Recording an entry is only part of the job. The Staff Accountant is expected to understand why a transaction occurred, assess whether the resulting balance makes sense, recognize when something looks wrong, investigate discrepancies, and catch errors in their own work.
KEY RESPONSIBILITIES
Accounts Receivable and Collections
Prepare, review, and issue customer invoices accurately and on schedule, including time and materials, fixed fee, and recurring subscription billing.
Maintain customer master data, billing terms, and contact records.
Apply customer payments (ACH, wire, check, credit card) and resolve unapplied cash and short pays.
Own the accounts receivable aging: review it weekly, identify at-risk balances, and drive them to resolution.
Perform collection calls and written follow-up on past-due accounts in a professional, relationship-preserving manner, and escalate accounts that require the Accounting Manager or an account executive to intervene.
Document collection activity, payment commitments, and disputes, and provide periodic collections status summaries to the Accounting Manager.
Research and resolve billing disputes by coordinating with project managers and account owners, and process approved credit memos and adjustments.
Support the allowance for credit losses analysis with supporting aging and collectability detail.
Accounts Payable and Disbursements
Process vendor invoices end to end: verify approvals, code to the correct general ledger account, cost center, and entity, and enter into the accounting system.
Perform three-way matching against purchase orders and receiving documentation where applicable.
Prepare payment runs (ACH, check, wire) for review and approval, and maintain supporting documentation.
Maintain vendor master data, collect and validate Form W-9 records, and support annual Form 1099 preparation and filing.
Reconcile vendor statements, research discrepancies, and respond to vendor inquiries.
Review and process employee expense reports and corporate credit card transactions for policy compliance, coding accuracy, and supporting receipts.
Monitor accounts payable aging and unvouchered receipts to ensure liabilities are recorded in the correct period.
General Ledger and Month-End Close
Prepare and post recurring, standard, and adjusting journal entries with complete supporting documentation.
Record accruals, prepaid expense amortization, deferred revenue activity, and fixed asset additions, disposals, and depreciation.
Research and respond to general ledger and journal entry inquiries, including transaction-level drill-downs and account activity explanations.
Review account activity critically rather than mechanically: investigate unusual, unexpected, or missing transactions, determine the root cause, and propose the appropriate correction.
Apply judgment to identify entries that do not make sense in context and raise them before the close is finalized.
Complete assigned month-end close tasks on schedule and communicate status and obstacles proactively.
Assist with intercompany transactions and ensure balances are recorded consistently across entities.
Maintain organized, audit-ready close documentation and workpapers.
Reconciliations
Perform bank reconciliations and clear reconciling items on a timely basis.
Reconcile balance sheet accounts, including AR and AP subledgers to the general ledger, prepaid accounts, accrued liabilities, and credit card accounts.
Identify, document, and resolve reconciling items rather than carrying them forward.
Prepare reconciliation workpapers to a standard that supports external audit and review.
Reporting, Analysis, and Compliance Support
Prepare supporting schedules and account analyses used in monthly financial statements and management reporting.
Provide explanations for account fluctuations and assist with basic variance analysis.
Assist with audit and review requests and respond to auditor questions on assigned areas.
Support sales and use tax, business license, and other compliance filings as assigned.
Assist with cash reporting and short-term cash requirement forecasting inputs.
Process, Systems, and Other Duties
Support the accounting system conversion from QuickBooks to ERPNext, including data validation, testing, and documentation of new workflows.
Build and maintain Excel schedules and analyses used in recurring accounting processes.
Document accounting procedures and recommend improvements that improve accuracy, timeliness, or internal control.
Adhere to internal control requirements, including segregation of duties, approval thresholds, and documentation standards.
Cross-train on other accounting functions to build broader full-cycle accounting knowledge and provide coverage.
Perform other accounting duties and special projects as assigned.
Job requirements
REQUIRED QUALIFICATIONS
Bachelor's degree in Accounting.
Approximately 1–2 years of accounting experience.
Hands-on accounts receivable experience, including exposure to invoicing, payment application, aging, collections, and/or billing issue resolution.
Strong accounting fundamentals, including working knowledge of U.S. GAAP and double-entry accounting.
Hands-on exposure to one or more additional accounting areas such as accounts payable, journal entries, reconciliations, general ledger activity, or month-end close.
Strong critical thinking, attention to detail, and problem-solving skills.
Resourcefulness and initiative, including the ability to investigate unfamiliar issues, use available resources, ask thoughtful questions, and apply feedback.
Proficiency in Microsoft Office, with strong Excel skills preferred.
Ability to manage competing deadlines and communicate status clearly.
Professional written and verbal communication skills.
Ability to handle confidential financial information with discretion.
PREFERRED QUALIFICATIONS
Experience across multiple areas of the accounting cycle, including AP, GL, journal entries, reconciliations, and/or month-end close.
Experience in a professional services, technology, or project-based business.
Exposure to a multi-entity environment.
Experience with an ERP implementation, data migration, or system conversion.
Experience with QuickBooks, ERPNext, or a comparable ERP.
Familiarity with revenue recognition concepts for services arrangements.
Progress toward the CPA designation.
